The three ways a CMMS is priced
Per user, per month (cloud subscription). The most common model. You pay for each person who uses the system, usually with a discount for annual billing. Simple to start, and the cost grows with the team.
Licence plus maintenance (on-premise). You buy a licence to run the software on your own servers, then pay a yearly fee — typically 10–20% of the licence — for updates and support. Higher upfront cost, lower running cost, and your data stays on your network.
Per site or per asset. Some vendors price by plant, by number of machines or by modules. Predictable for large teams, but read the limits carefully.
What the market charges in 2026
Published prices for well-known cloud CMMS products, per user per month, as reported by review sites in 2026 (US dollars; check each vendor for current figures):
| Product | Entry plan | Plan with parts, PM or offline |
|---|---|---|
| MaintainX | 20–25 $ | 65–75 $ |
| Limble | 28 $ | 69–79 $ |
| UpKeep | 24 $ | 55 $ (offline in a quoted plan) |
| Fiix | 45 $ | 75 $ |
| eMaint | 69 $ (minimum 3 users) | 85 $ |
Enterprise asset-management suites sit in a different bracket: a mid-sized IBM Maximo deployment for around 50 users is reported at roughly 30 000–50 000 $ a year in licensing alone, and typical on-premise perpetual licences at 25 000–150 000 $ plus annual maintenance. Sources are listed at the end of this article.
Why the entry price is rarely the real price
Look at which plan contains the features a maintenance team needs from week one: spare parts and inventory, preventive maintenance, offline use for the shop floor, documents. In many products those sit one or two tiers above the advertised starting price. The fair comparison is between the plans you would actually buy.
The costs that are not on the pricing page
- Implementation. Some vendors charge from a few thousand to tens of thousands for setup and onboarding.
- Data migration. Cleaning and importing machine lists, parts and history takes time — yours or a consultant's.
- Minimum seats and annual-only billing. A plan “from 69 $” with a three-user minimum and annual prepayment is a different commitment from a monthly plan.
- Annual price increases. Multi-year contracts often include yearly escalators.
- Requester and view-only users. Check whether people who only report faults need a paid seat.
- Hosting and IT time. For on-premise, your servers, backups and patching are a real cost.
- Exit costs. Ask how you get your data out, in which format, and what it costs.
Cloud or self-hosted: what changes in the total cost
Comparing a monthly subscription with a licence is easier over three to five years than over one. A cloud plan has no hardware or IT time on your side, and the cost grows with every user you add. A self-hosted licence costs more on day one, but the people count stops mattering, and you add your own server, backups and the time of whoever looks after them.
A simple way to compare:
- Count the users who will actually need a seat in year one, and in year three.
- Multiply by the per-user price of the plan with the features you need, for 36 or 60 months.
- For self-hosted, add the licence, the yearly update or support plan, and a realistic figure for server and IT time.
- Add implementation and migration to both.
Small teams usually come out ahead on the cloud. Larger teams, plants with strict data rules, and anyone who expects headcount to grow often come out ahead self-hosted.
What a CMMS is worth to a plant
Price only makes sense next to value, and the value of a CMMS is rarely the software itself. It shows up as shorter breakdowns because the drawing and the part are found faster, fewer repeated failures because the history is readable, fewer emergency part orders because stock is accurate, and a next shift that starts working instead of asking around. None of that needs a precise ROI model to see; it needs a pilot that measures the few things you care about before and after.
How UR Maintain is priced
We publish every price and gate no feature behind a tier: every edition runs the same application. The managed cloud is 25 € per user per month (or 250 € per user per year), from five users. Self-hosted is licensed per installation with every user included: 5 000 € a year, or a perpetual licence with the first year of updates, quoted on request. All prices are net, excluding VAT. The pricing page has the details, including optional premium support.
One honest note: the product status page says exactly what UR Maintain does today. Compare features against that list, not against a brochure.
Questions to ask any vendor
- Which plan includes spare parts, preventive maintenance, offline use and documents?
- Is there a minimum number of users or an annual commitment?
- What does implementation cost, and what does it include?
- How much will the price rise each year?
- Do fault reporters need a paid seat?
- Can we run it on our own servers, and what does that cost?
- How do we export our data if we leave?
